Corporate Transport for Conferences and Events in Oslo

A conference is rarely one trip. It's speakers landing at different times, guests going from the hotel to the venue, a dinner in the evening and a flight home the next day. Here's how to plan the transport so nobody is left waiting, and what it costs.

Why conference transport is harder than it looks

The driving isn’t the hard part; the coordination is. Arrivals are spread across the day, flights run late, the programme overruns, and speakers need something different from a group of twelve heading to dinner. Without one party owning the whole thing, you end up with three taxi apps, five receipts and an organiser spending the evening on the phone.

Mixing is often smartest: an EQS for the speaker landing at midday, and a minibus with driver for the group going from the hotel to the venue and on to dinner.

How to plan the transport

  • Make one arrival list with names, flight numbers and hotels, so we track the flights and adjust pickups
  • Agree the set routes in advance: airport–hotel, hotel–venue, venue–dinner
  • Keep speakers and VIP guests separate from the groups, so nobody waits for anybody else
  • Have one contact person on your side and one on ours, so changes go to one place
  • Allow a margin at rush hour, especially between the city centre and Gardermoen
  • Use an hourly rate for the evening, when nobody knows exactly when dinner ends

Fixed price or hourly rate?

Both, and each solves a different part. A fixed price suits routes you know about in advance, like transfers to and from Gardermoen. An hourly rate suits an open programme: the chauffeur waits, and you decide when to move on. Either way, the price is confirmed by a person before the trip, not estimated by an app.

Invoicing and corporate agreements

What takes time after an event is often the receipts. With a corporate agreement you get one monthly consolidated invoice with a reference or cost centre per trip, a fixed 10% corporate discount and volume discounts, with no minimum commitment. Assistants, reception and organisers can book for guests and staff.
